Legacy Behavioral Health Center, Inc. is a community mental health center that has been serving residents of Martin, Okeechobee, St. Lucie, Indian River and Brevard Counties since 2005. We are committed to improving the quality of life and level of performance of emotionally and behaviorally challenged children, adolescents, families and adults through an array of diverse services.

We are currently seeking a Psychiatric/Psychological Coordinator for our office in Stuart ! ** In Person 

  • Daily review and maintenance of all clients’ charts scheduled for psychiatric appointments to ensure clients have appropriate consents, releases and guardianship paperwork, as well as, CFARS/FARS, MHO and Treatment Plans are completed and up to date.
  • Revises the Psychiatric Compliance Report to further ensure documentation is completed on a timely manner.
  • Obtain Prior Authorization for psychiatric services.
  • Completes treatment plans, CFARS/FARS, and Mental Health Outcome forms for psychiatric only recipients.
  • Coordinate transition to inpatient treatment (records, documentation from doctors).
  • Coordinate psychiatric care with case managers, therapists, psychiatrists, and hospital discharge follow up care.
  • Monitors and ensures that FDCs are completing on a timely manner the following tasks: doctor’s assignment, cancellation/no shows are marked in the schedule and notes are entered in EMR, appointments are marked as completed in the schedule, appointment confirmations and rescheduling are done. Then, report results to direct supervisor.
  • Makes sure especial needs accommodations for clients are been addressed properly by the FDC.
  • Coordinates doctors/APRN enter documentation in EMR on a timely manner.
  • Sends a list of all clients that need discharges, transitions, and case transfers in the psychiatric department to Direct Supervisor. Follows up until these have been completed.
  • Follow up with internal referrals for psychiatric services.
  • Maintain and update psychiatric clients list.
  • Coordinate and/or complete incident report.
  • Maintains and update psychiatric clients list for contracts.
  • Coordinate follow ups on no shows and phone calls with patients and other providers.
  • In collaboration with Medical Records, requests prior psychiatric, medical and school records when requested by psychiatrists.
  • Daily generate Psychiatric Billing Invoices and place them on Legacy Share Drive for Billing Department.
  • Problem solve issues with psychiatric clients and other departments.
  • Write letters for community agencies for psychiatric clients.
  • Follow up on clients with multiple hospitalizations, non-compliance so the Lead Site Consultant follow up with a staffing. 
  • Ensure peer reviews are done for the psychiatric department and submitted to QA.
  • Completes productivity, no show and other measurement reports for upper management.
  • Cover Front Desk from any of the sites when needed upon direct supervisor’s approval
  • Sets appointments for all psychological clients
  • Prepares and submits invoices for the Psychological Department.
  • Call clients to confirm appointments.
  • Review referrals ensuring the client has appropriate coverage for the service and refer accordingly if client does not have coverage.
  • Prepare and submit internal referrals.
  • Complete Transitions/Discharges and FARS/CFARS for the Psychological Department.
  • Assist in the preparation, review and submission of Prior Authorizations for the Psychological Department.
  • Coordinates services with referral sources and contract sources.
  • Proofreads psychological evaluations.
  • Maintain the schedule for the Psychological Department.
  • Revision of the psychological evaluations to be released by the Medical Record Department
  • Transcribe progress notes, and other documents as needed.
  • Generates and submits productivity reports to upper management.

Bilingual (English/Spanish) is a must.

Skills / Requirements

EDUCATION REQUIREMENTS:

    • Minimum High School Diploma or equivalent, preferable Bachelor’s Degree in Psychology or related field
    • 3-5 years’ experience in administrative clinical skills.
    • Bilingual (English-Spanish) Required.
